Quick Start Guide for Softphones

What you need to know

Welcome to Verizon! Your new business voice communications solution is an easy-to-use service designed to enhance communications with your co-workers, customers, and suppliers. It will help you work more efficiently - from virtually anywhere.

In this guide, you will find getting started information to get you up and running quickly with basic feature information. For detailed information, user guides and tutorials on how you use all the features of your service, visit the End User’s Headquarters on the support site - End User HUB .

Steps:

 

Step 1: Receiving Your Welcome Emails

You will receive two welcome emails from Verizon with your My Phone Next login information. One will have your username and the other will have your first-time login password. Log in within 24 hours of receiving the email. If you do this after 24 hours from receiving the email, select the Forgot Password link and another email notification will be sent with the new password to use for the first-time login.

Step 2: Logging in to My Phone Next for the First Time

Accessing the end-user portal, My Phone Next, is the first step to getting started setting up and managing your call settings. Follow these steps to log in for the first time:

  1. Open the Verizon welcome emails.
  2. Go to https://webexcallingus.verizon.com/myphonenext/ or the My Phone Next link found in your email to open My Phone Next.
  3. Enter the username found in one of your welcome emails.
  4. Enter the temporary password found in the other welcome email.

    Note: If you cannot find your temporary password, or it expired, select Forgot Password and follow the instructions to get a new temporary password emailed to you.

Step 3: Downloading and Installing the Desktop and/or Mobile Client

Your company administrator will determine the desktop and/or mobile applications that are available with your profile and are available for you to access in your My Phone Next portal. Follow these steps to download and install the desktop softphone client:

  1. Within your My Phone Next portal, select My Apps.
  2. Select the Download button for your device type to begin the download for the desktop client. For the mobile devices, select Copy Link to copy the link that will direct you to the App Store or Google Play to download on your mobile device.
  3. Install the downloaded client on your local computer or mobile device. For the desktop client, you can select to install the Outlook plugin during the install setup steps.
  4. Enter your Username and Password. This will be the same username and password used to log in to My Phone Next.
  5. When the desktop client opens, you will be prompted to update your address and enable the Outlook integration. If you choose to update your address, you will be routed to the My Phone Next portal to do so.

Step 4: Setting Up Voicemail for the First Time

Your company administrator is responsible for enabling voicemail on your user profile. Once this is done, you will receive an email with your temporary voicemail passcode. The following steps can both be done from your desktop and mobile client. For this example, images are used from the desktop client. To setup your voicemail for the first time:

  1. Dial your Voice Portal phone number or extension and press the Call button.
  2. You can also long press the 1 key to access your personal voicemail.
  3. Enter your temporary passcode from the email you received.
  4. Follow prompts to change your temporary password.
  5. Enter your temporary voicemail passcode from the email you received.
  6. Follow the prompts to change your temporary password.

Step 5: Setting Up Voicemail Personal Greeting

There are two voicemail options:

  1. Busy Greeting – This greeting is when "do not disturb" is enabled or on a call and call waiting is disabled.
  2. No Answer Greeting –This greeting is played when you are away from phone and do not answer.

To set up your personal voicemail greeting, follow these steps:

  1. Dial your personal phone number from the desktop client or mobile client and press the Call button.
  2. Enter voicemail passcode.
  3. Press 1 to record Busy Greeting.
  4. Press 2 to record No Answer Greeting.

If you have a voicemail message, you will see a badge displayed on the Call History tab indicating the number of pending voicemail messages. To retrieve voicemail messages using the desktop client, follow these steps:

  1. Select the Call History icon.
  2. From the Call History page, select the Voicemail tab. Here you will see a list of your current voicemails.
  3. To preview a message, select the Options icon located to the right of the call. Here, you have the options to Play, Mark as Viewed, Save As or Delete the voicemail message.

Step 6: Configuring Call Preferences and Settings from your Desktop Client

Within the desktop client, you can modify and configure several options available to you, including options for managing incoming calls.

  1. To access your call preference settings and options, select the Options icon in the bottom, left corner of the desktop client.
  2. Then, select the down arrow to navigate to the various options available to configure.

Step 7: Accessing the Directory and Contacts

You can access your company directory through the My Phone Next portal.

  1. Log in to My Phone Next.
  2. Select the Directory tab. Here is your company’s phone list. If you are signed into the desktop client, you can place calls to these users from this page.

    Note: You cannot edit these numbers.

To access and add contacts on your desktop client, follow these steps:

  1. Select the Contacts icon.

    Note: Your contact list in the desktop client will be empty. This feature is designed to be your own list of contacts. However, you can search your company directory and quickly add company contacts.

  2. Enter the full or partial name or number in the search field.
  3. Right click the contact to add and select Add to Contact.
  4. To add a contact who is not within your company directory, select the Add icon in the upper, right-hand corner and enter the contact’s information.
  5. Select Save. The contact will now be available in your contact list within your desktop and mobile clients.
